What roles do you hire for?

BCBAs, RBTs, care coordinators, clinical directors, state directors, administrators, billing specialists, and all different types of roles across our three states. What does compensation look like?

Every role at House of Hearts is different, and our compensation is competitive across each one. Our goal is to build a growing, supportive environment where every person on our team feels invested in. When our staff are happy, our families feel that. We invest in our team and staff the same way we invest in the families we serve.

How do we begin?

Click “begin therapy now” anywhere on the site and tell us how to reach you — that is step one. From there we verify your benefits, send any paperwork, and schedule your assessment. A real care coordinator follows up the same business day. You can also just call us at 305-209-3144.

What does the first call sound like?

It is a conversation to get to know you and your family — to understand where you are, what your goals are, and what is hardest right now. We answer every question you have about insurance, scheduling, and what therapy looks like. No script. No pressure.

What is the difference between step 1 and step 2 of intake?

Step 1 is just your name, phone, email, and state — the low-friction basics so we know how to reach you. Step 2 is the insurance details: your child's information, your carrier, and your member ID. We split them so you can start without digging up your insurance card.

How soon can my child start?

Most families move from first call to first session in 14 to 30 days. The biggest variables are your insurance authorization timeline and your state. We do not run a waitlist, so we are usually limited only by paperwork, not capacity.

Is a diagnosis required before we start?

Yes. Insurance requires an autism diagnosis from a licensed psychologist or developmental pediatrician before ABA services can begin. The assessment that shapes the treatment plan is separate from the diagnosis. If you do not have a diagnosis yet, we can point you to a diagnostic partner.

What if we do not have a diagnosis yet?

Tell us anyway on your first call. We can refer you to a diagnostic partner in your state and explain what the evaluation involves. Once the diagnosis is in hand, we pick right back up with benefits verification.

Can we switch from another ABA provider?

Yes, and it happens often. We coordinate the transition for your family. Sometimes your child's progress and goals carry over from the previous provider, and sometimes we start fresh — it depends on the specific situation, and our clinicians make the best judgment call based on what is clinically necessary for your child. Bring any recent assessments or treatment plans and we will work from them.

What ages do you serve?

Children ages 1 to 18. Our early-intervention focus is ages 1 to 5, where starting early makes the biggest difference, but we build plans for school-age children and teens too.

How does insurance verification work?

You give us your carrier and member ID, and we run a verification of benefits directly with your insurance. We confirm whether ABA is covered, what authorization is required, and what your costs look like. We call you back the same business day with what we find.

Are your services covered by insurance?

For most families using insurance, ABA is covered with little or no out-of-pocket cost. Coverage depends on your specific plan and state. We confirm the exact details during verification and explain them in plain language before you commit to anything.

What will we pay out of pocket?

It depends on your plan's deductible, coinsurance, and copay. Many Medicaid families pay nothing; commercial plans vary. We always walk you through your specific numbers before therapy begins — no surprises.

What is prior authorization?

Prior authorization is your insurer's approval to begin covered services. Some plans require it, some do not. When it is required, we submit the assessment and documentation and drive the approval forward on your behalf.

How long does authorization take?

It typically runs 7 to 21 business days depending on the plan and state. We handle the submission and the follow-up, and we keep you updated rather than leaving you wondering. Once approved, we schedule your assessment and first session.

What if a claim is denied?

Denials are often a paperwork issue, not a dead end. We review the reason, gather what is missing, and file an appeal when appropriate. Our team does this every week, so you are not navigating it alone.

Is self-pay an option?

Yes. If you prefer not to use insurance or your plan is not covered, we offer self-pay and will explain the rates clearly up front. Many families combine self-pay with scholarship funding like Step Up For Students in Florida.

How does Step Up For Students work?

In Florida, the Step Up For Students scholarship can provide up to $10,000 per child per year toward therapy and related services. We help families navigate it alongside Medicaid, including the application, the marketplace selection, and the annual renewal.

Which states do you serve?

We serve families in Florida, Colorado, and Maryland — and we work with families in other states as well. We started in Florida as our home base and have grown into Colorado and Maryland. If you are outside our three primary states, reach out and we will tell you whether we can support your family.

Which Medicaid plans do you accept in each state?

Florida — We are not currently in-network with Florida Medicaid, but we are actively working toward becoming in-network. Submit your information and we will reach out as soon as Medicaid coverage is available. Colorado — We are in-network with Colorado Medicaid. Maryland — We are in-network with Maryland Medicaid. For specifics about your plan, tell us your carrier and member ID during verification and we will confirm.

Do you offer telehealth?

Yes. We offer telehealth supervision and parent coaching over secure, HIPAA-encrypted video when in-person is not the right fit or not yet available in your area.

Do you serve rural areas?

Yes. Whether we can support you in person depends on your specific location and your schedule. Direct therapy is always delivered in person — that is our standard. Supervision can be in person or over secure video depending on what works best for your family. Tell us where you are and we will work through the options with you.

Where are your offices located?

Our offices are in Florida and Colorado. Our team travels to families in their homes and to children in their schools across Florida, Colorado, and Maryland. Tell us where you are and we will let you know if we can support your family.

Which states are you expanding into next?

We are constantly growing. Our expansion is based on our bandwidth, our clinical quality, and what we can responsibly take on as a team. Tell us your state through “begin therapy now,” even if it is not on the list yet, and we will let you know if we can support your family.

What does a typical session look like?

Sessions begin with pairing — where your RBT builds rapport and trust with your child through play and shared activities. From there, your therapist works through targeted skill building from your child's treatment plan, embedding structured teaching into natural routines and interactions. Each session is paced to your child's needs and follows the plan your BCBA designed. Warm, structured, and clinically driven.

How often do sessions happen?

Frequency is set by your child's treatment plan and can range from a few hours a week to more intensive schedules for early intervention. Your BCBA recommends the right intensity based on the assessment, and we build it around your family's week.

Who delivers the sessions — a BCBA or an RBT?

Both. A Board Certified Behavior Analyst (BCBA) designs and supervises the plan; a Registered Behavior Technician (RBT) delivers most of the direct one-on-one therapy under that supervision. You meet both before they start working with your child.

How do you measure progress?

Every session generates data. You receive a written progress summary every month, and your BCBA reviews what is working and what comes next with you every quarter. No black boxes.

What are parents expected to do during sessions?

You are a partner, not a bystander. We coach you on the same techniques our therapists use so progress continues between sessions. How involved you are during a given session depends on the goals and your child's comfort.

How do you coordinate with schools?

When school-based support is part of the plan, we coordinate with teachers and IEP teams so goals travel into the classroom. We align our targets with the IEP and share data so everyone is working from the same page.

What happens if our therapist leaves?

We work hard to keep this rare. Our turnover is very low compared to the industry standard because we invest in and support our team. If a transition does happen, we move quickly to assign another member of our team and train them on your child's plan so the work continues without disruption.

How do you handle behavioral emergencies?

Your plan includes proactive strategies and, when needed, a behavior intervention plan with de-escalation steps. Your BCBA trains caregivers on what to do in hard moments, and we adjust the plan based on what the data shows.
